Get prepared for College Childcare Payments

It’s not only Back to School time, it’s also that time of year when students return or start a place at college. And it’s also an important time for childminders providing a service for parents who are studying.


Asked to provide childcare for a parent who attends college? 
In Scotland, students can apply for help from the Childcare Fund to pay for registered childcare, allowing them to attend college whilst their child is being cared for by a registered childminder.

Each college is different, and each will use a different payment system. However, the general payment system involves the funds being transferred directly to the parent.  

When it comes to College Childcare Payments there are lots of things to consider before you enter any formal arrangements - and SCMA is here to help!


Problems? Stop pitfalls, before they begin
SCMA is aware that some childminders can face problems with late or non-payment of fees from parents who attend college for a variety of reasons, including failure to complete the correct paperwork on time or parents not attending their classes.

In addition, most college childcare payments are paid in arrears. SCMA always recommend that childminders request their fees to be paid in advance; however in these cases like these, it’s not always possible. A deposit is a useful way to ensure that the cost of your time and expenses are covered whilst you are awaiting the transfer of funds.  

A deposit would cover your costs and ensure the parent does not accumulate debt, if a problem occurs with the college childcare payments. This also ensures you are not left out-of-pocket.

SCMA would always recommend using a contract; providing a clear point of reference for both of you regarding fees, holidays, notice periods and other conditions of the service.  We would also suggest finding out the terms and conditions of the college payment system before you enter into an agreement; giving you a clear understanding of what to expect.


Other key points to remember!
It’s vital you understand the terms and conditions surrounding the college’s payment system.
Funding will only cover fees during term-time and college hours.
Timetables can change; ensure the parent understands changes can’t always be accommodated.
Funding will stop once college is complete – college fees will not cover notice periods.
Contracts are between you and the parent(s) – the college is never responsible for unpaid fees.
The college will only deal directly with the student; you will not be involved in any disputes.
